Quote request intake
Today
A rate request arrives as free text, often inside a long thread. Someone reads it, works out origin, destination, mode, pieces, weight, dimensions, ready date and terms, checks rate cards, writes back.
What the system does
Parses the request into structured fields, flags anything not stated rather than guessing, retrieves applicable rates, drafts the quotation for approval. Ambiguity escalates.

Shipment status enquiries
Today
"Where is my container." Someone identifies which shipment, checks the TMS and carrier tracking, works out what can be said, writes back. Dozens of times a day.
What the system does
Resolves which shipment the enquirer means, pulls current status from your systems, composes the reply in your house tone, escalates anything with a hold or exception.

TMS read access, carrier tracking.

Document extraction
Today
Bills of lading, commercial invoices and packing lists arrive as PDFs and scans. Someone retypes the fields into the TMS.
What the system does
Reads the document, extracts the fields, validates them against the booking record, flags mismatches for review rather than writing through silently.

Document store, TMS write access.

Customs document chasing
Today
Someone notices a missing certificate of origin, usually late, and emails the shipper. Sometimes nobody notices until the container is accruing charges.
What the system does
Knows which documents each shipment type requires, detects what is missing, chases the responsible party on a schedule, escalates when the deadline gets close.

Shipment records, document checklist rules.

Booking confirmations
Today
The same email, retyped with different reference numbers, many times a day.
What the system does
Generates the confirmation from the booking record, sends on confirmation, logs it.
Needs
TMS read access.

Arrival notices
Today
Someone remembers to send it, or doesn't.
What the system does
Triggered by the shipment event rather than by memory, composed from the record, sent to the right party.
Needs
Milestone events from the TMS or carrier.

Quote follow-ups
Today
Quotes go out and a large share are never chased. Not from carelessness — there is simply no list.
What the system does
Tracks every quote sent, follows up on a schedule you set, stops when the customer replies, escalates the ones showing interest. Note honestly: at one studio we measured before automating, 40–50% of quotations were never followed up at all.

Invoice and payment matching
Today
Remittances arrive and someone works out which invoices they cover. Who owes what lives in memory or a spreadsheet.
What the system does
Matches remittances to invoices, flags partials and discrepancies, sends reminders on schedule.

Exception detection
Today
Problems surface when a customer complains.
What the system does
Watches shipment milestones against expected timelines, flags delays, customs holds and approaching free-time expiry before they become charges.
